Events coordinate everything that needs the crew on the same page — charters, passages, drills, maintenance, and social events. This guide covers creating an event, writing department briefings, and managing it through to completion.
Event types
- Passage — long trips with watch schedules and weather notes
- Guest Visit — owner or charter visits with arrival details and preferences
- Maintenance — planned yard periods, service calls, and work scopes
- Social — crew nights out, birthdays, and team events
- Custom — anything that does not fit the above
Creating an event
Go to the Events tab on the admin side and tap +. Enter the title, pick a type, set the start and end dates, and write a general description that applies to everyone on the vessel.
Department briefings
Under the general description, add specific briefings for each department. For a guest visit, that might mean:
- Deck — tender schedules, water toys, and beach setup
- Interior — cabin assignments, service timings, and preferences
- Galley — dietary requirements, allergies, and menu preferences
- Engineering — generator and water-maker load planning
Each department only sees their own briefing plus the general description — no cross-department noise.
Restricted fields
Mark sensitive information as restricted to specific roles. For example, guest names and personal details might be visible only to the Captain, Chief Stew, and Chef. Crew who do not have access see a placeholder — they know the restricted field exists but not what it contains.
Restricted fields are how you satisfy guest privacy requirements without sacrificing operational awareness. If you are unsure who should see a field, default to fewer roles — you can expand access later.
Notification schedule
Set automatic reminders to fire before the event starts — for example, 7 days, 3 days, and 1 day before. Crew receive push notifications at each interval pointing straight to the briefing, so nothing is left until the last minute.
Live updates
During a running event, post real-time updates — "ETA changed to 1400", "2 additional guests confirmed", "tender departure delayed 30 minutes". Every crew member targeted by the event is notified immediately and the update is appended to the event timeline.
Monitoring
Open any event to see which crew have read the briefing and which have not. Send reminders to outstanding crew with one tap — especially useful in the final hours before a guest arrival or drill.
Archiving
Completed events are archived automatically with all data preserved — briefings, read receipts, live updates, and attached documents. Archived events stay searchable and are included in compliance reports for audit purposes.
